We collect information about you in order to deal with your enquiry and undertake the service which you have asked us to provide.

We will ask for your full name, home address, e-mail address, landline and mobile telephone numbers, date of birth and national insurance number.

We will ask you to provide documentation /information to enable us to verify your identity. For example your date of birth, photo ID- passport or driving licence etc, official proof of your address through correspondence from a utility company or bank statement etc. in order to comply with our legal and regulatory obligations Depending upon the nature of the service you have asked us to provide we may need further personal information from you such as details of your financial situation e.g. the source of your funds if you are instructing us on a purchase or sale transaction to comply with Money Laundering Regulations which will therefore contain your bank name, account number, sort code and balance held in your bank/savings account(s).

Information to enable us to take a credit or other financial checks on you

Details about your spouse/partner, dependants or other family members if instructing us on a family matter, Will or Power of Attorney etc which will include their names and addresses. In certain transactions we may ask details about your assets and liabilities for example in the course of matrimonial proceedings or Will instructions.

How we collect your personal information

We will collect information from you directly when you are in contact by e-mail, telephone, in writing or in person or your third party advisors (such as mortgage brokers) may provide information of a similar nature to that listed above. We may also obtain information from publicly accessible sources e.g. Land Registry.

How we use your personal information

We use the information you supply to fulfil the service requested by you in our business as a Solicitors firm. We can provide ongoing legal support and assistance. The following is not a complete list of information but is designed to illustrate the huge variety of personal information we need in order to deal with your matter efficiently. We may need to share your personal information with other people involved in your matter. E.g. we may need to send some of your details to HM Revenue & Customs when we pay Stamp Duty Land Tax; Your bank or building society in relation to finances; HM Land Registry to register your new home; and to the solicitors acting for the other side of the transaction; organisations which hold your assets; HMRC; beneficiaries under a will; your accountant, insurers, auditors and other authorities.

How we store your personal information

We store your file securely in a paper version in our premises or a secure off site storage unit in sealed boxes for a minimum of 6 years but may be up to 10 years. The file is then destroyed by a specialised company who receives the file in a sealed bag.

We have a legal software system that allows us to store letters, forms and other correspondence relating to your matter electronically on our computers. Those processing your information will only do so in an authorised manner and are subject to a duty of confidentiality.

We use a third party to provide us with IT support who are subject to their own privacy laws and legal obligations.

We have appropriate security measures in place to prevent your personal information being lost, used or accessed in an unauthorised way, altered or disclosed.

Use of your information for marketing

We may contact you from time to time if there are important issues which relate to your particular matter. E.g. we may ask if you wish to make or update your Will or create a Lasting Power of Attorney. We will ask for your consent to contact you about legal services or promotions when you sign your terms and conditions of business with us. We do not sell or share your information with third party organisations (except as required by law)

Your rights

You have the following principal rights:

Access: The right to be provided with a copy of all the information we may hold in relation to your personal data.

Rectification: The right to require us to correct any mistakes in your personal information.

Deletion: The right to require us to delete your personal information in certain situations (subject to our rights to hold relevant information for compliance purposes) Restriction of Processing: The right to ask for processing of your information to be restricted in certain circumstances.

Objection of Processing: The right to object to your personal information being processed for direct marketing.

Data portability: The right to receive the personal data you provided to us in a structured, commonly used and machine readable format. However this right does not apply if it would adversely affect the rights and freedoms of others.
